What does Client Data File Path by Key Person mean?

Client Data Path Maintenance by Key Person means that you are advising BalaBoss Client Navigator where the Key Persons in your Firm (usually Partners) keep their Client Files.

How do I define the location of Client Data Files by Key Person?

To define the location of data files by Key Person ...
From Client HQ, click System Administration, then click Security Switchboard.

From the Security Switchboard, click Data File Path Maintenance by Key Person. The File Path Maintenance by Key Person form will be displayed. 

  1. To define the location of data files of a Key Person (usually Partner) in your firm, click a button in the right column headed Data File Location by Command Button, in the row of the Key Person you wish to maintain.
    The Data File Location by Command Button form will appear 
  2. If the related Launch Pad button is not designated as Drill Down in column 2, then:
    1. In the Data File Location by Command Button form, select the application in the first column. Enter the data path where files of each application for the key person listed may be found, in the Data Path column.
    2. Please refer to notes regarding Keystrokes, Backslash and Browse (item #'s 4, 5 and 6) below.
  3. If the related Launch Pad button is designated as Drill Down in column 2, then:
    1. Click the Identify Data Paths button in the selected row.
      The Drill Down - Data File Location form will appear:
    2. In the Data File Location by Command Button form, select the application by using the drop-down box in the first column. Enter the data path where files of each application for the key person listed may be found, in the Data Path column.
    3. Please refer to notes regarding Keystrokes, Backslash and Browse (item #'s 4, 5 and 6) below.
  4. Keystrokes
    If the Launch Pad application requires keystrokes in addition to data file name to successfully launch, then check the checkbox and click the icon alongside to enter the specific keystrokes.
  5. Backslash
    The data path entry must end with a backslash "\". During the operation of the Launch Pad, BalaBoss will automatically tag the specific client file onto the data path you have entered.
  6. Browse
    Use the Browse dialog to open any file in the target folder. The target folder will automatically be entered into the data path.

Is there an easy way to copy the setup of one person to another?

A great time saving feature is available on the Data File Location by Command Button form.

In the lower left corner is a drop box titled: Import missing paths from ...

Assume you have invested time in setting up one Key Person (usually Partner). Other Key Persons may have a very similar data path structure. Rather than requiring you to repeat a time consuming procedure, BalaBoss Client Navigator suggests you follow these simple steps:

  1. Setup the Data File Location by Command Button form for Key Person 1.
  2. Click Close to return to the File Path Maintenance by Key Person form.
  3. Select a new Key Person. Select the button in the right column to reopen the Data File Location by Command Button form. The name of the Current Key Person will appear in the top-right.
  4. Click Import missing paths from ... and select the Previous Key Person.
  5. Any missing file paths will be populated on the Current Key Person's file based on the entries in the Previous Key Person's file.
  6. It should then be a simple matter to edit the new entries (if necessary) to correspond to the precise location of the data files of the Current Key Person.

Note: The Import missing paths from ... utility will import primary and secondary paths.
